This Privacy Policy replaces all prior versions and explains how FL-Accounting LLC, doing business as Florida Accounting & Advisers and also styled as FL Accounting, collects, uses, shares, protects, and retains personal information through fl-accounting.com, our forms, client portal, and related services.

 

1. Who We Are

FL-Accounting LLC is a Florida-based service-area business providing bookkeeping, payroll, accounting advisory, and tax preparation services to small and medium-sized businesses, including businesses in Boca Raton, Stuart, South Florida, and elsewhere in Florida.

Our founder is Roxana P. Villaran, formerly Roxana Scaffidi, Founder & Accounting Adviser.

FL-Accounting LLC is not a CPA firm. Federal tax return preparation is coordinated with, prepared and signed by an independent, separately licensed CPA. The partner firm is Everglades Accounting LLC.

 

2. Scope of This Policy

This Policy applies to personal information collected through:

  • fl-accounting.com;

  • Website contact forms;

  • Downloadable resources and lead magnets;

  • Consultation requests and email communications;

  • Client onboarding and engagement activities;

  • Tax-preparation and accounting-service coordination;

  • The TaxDome client portal;

  • Related client-document and payment processes; and

  • Other services or communications that link to this Policy.

This Policy generally does not apply to information processed solely on behalf of a business client under that client’s instructions where FL-Accounting LLC acts as a service provider or processor. In those circumstances, the client’s privacy policy and instructions may also apply.

This Policy does not replace any engagement letter, service agreement, portal terms, or other contract that may govern a specific client relationship. If a contract conflicts with this Policy regarding client information, the contract will control to the extent permitted by law.

 

3. Information We Collect

A. Contact and inquiry information

When you contact us or submit a website form, we may collect:

  • First and last name;

  • Company name;

  • Email address;

  • Phone number; and

  • The contents of your inquiry or other free-text message.

B. Downloadable-resource information

If you request a downloadable PDF resource, we may collect the information submitted with the request and use it to deliver the resource and respond to your inquiry. We may send additional communications only as permitted by applicable law and your communication preferences.

C. Client onboarding and engagement information

Depending on the services requested, we may collect:

  • Tax identification numbers;

  • Government-issued identification where required;

  • Banking details needed for payroll services;

  • Financial statements;

  • General ledgers and bookkeeping records;

  • Payroll records;

  • Tax documents;

  • Prior-year tax returns;

  • Tax notices and correspondence;

  • Information about employees, contractors, partners, members, shareholders, dependents, or other individuals included in records provided to us; and

Please provide sensitive documents through the approved secure client portal rather than ordinary email whenever possible.

D. Client portal information

TaxDome is used for secure client-document exchange, client communications, payment-related processing, and authorizations. Information submitted through or stored in TaxDome may include the sensitive financial and tax information described above.

E. Technical and usage information

When you visit our website, we or our service providers may automatically receive information such as:

  • Internet Protocol address;

  • Browser and device type;

  • Operating system;

  • Website pages viewed;

  • Referring or exit pages;

  • Approximate location derived from technical information;

  • Date and time of visits;

  • Interaction with website features; and

  • Cookie or similar technology information.

We collect this information only as described in the Cookies and Analytics section below.

F. Information from other sources

We may receive information from:

  • You or your authorized representatives;

  • Your business or employer;

  • Other service providers involved in your engagement;

  • The independent CPA involved in federal tax return preparation;

  • Accounting, payroll, banking, or software platforms;

  • Public records or government agencies; and

4. How We Use Information

  • Respond to questions, inquiries, and consultation requests;

  • Provide bookkeeping, payroll, accounting advisory, and tax preparation services;

  • Organize records and coordinate federal tax return preparation with an independent, separately licensed CPA;

  • Support the preparation and signing of applicable federal tax returns by that independent CPA;

  • Create and maintain client accounts;

  • Verify identity and authority;

  • Process or coordinate payments and authorizations through TaxDome;

  • Communicate about services, deadlines, documents, fees, and account activity;

  • Deliver requested downloads and resources;

  • Prepare proposals, engagement documents, invoices, reports, and other business records;

  • Maintain accounting, tax, payroll, and professional records;

  • Comply with legal, regulatory, tax, court, and government requirements;

  • Detect, prevent, and investigate fraud, security incidents, misuse, or unauthorized access;

  • Operate, maintain, secure, and improve our website and systems;

  • Understand website usage and improve content and user experience;

  • Establish, exercise, or defend legal claims; and

  • Perform other purposes disclosed when information is collected or authorized by you.

Where consent is required, we will request it. You may withdraw consent for future processing by contacting us, although withdrawal will not affect processing already completed or processing that is permitted or required without consent.

Legal bases where European or United Kingdom privacy law applies

Where the EU General Data Protection Regulation or UK GDPR applies, we may process personal information on one or more of the following bases:

A. TaxDome

TaxDome provides secure client-portal, document-management, communications, payment-related, and authorization functionality. TaxDome is the designated system of record for client documents maintained through our client relationship.

B. QuickBooks and Intuit

QuickBooks, provided by Intuit, is used for bookkeeping, accounting, financial records, and related business functions. Information processed through QuickBooks is subject to applicable Intuit terms and privacy practices.

C. Independent CPA partner

Everglades Accounting LLC is an independent CPA partner that prepares and signs applicable federal tax returns. Where tax-preparation services are coordinated, relevant information may be shared with Everglades Accounting LLC and its authorized professionals as necessary to perform the engagement, subject to applicable authorizations, contracts, and professional obligations.

FL-Accounting LLC is not a CPA firm and does not itself prepare or sign applicable federal tax returns.

D. Wix

Wix provides website hosting, website forms, and related website functionality. Information submitted through Wix forms may be transmitted to us or stored or processed by Wix or its service providers.

E. Google

Google provides email, calendar, and related productivity functionality. Information may be processed through Google when you communicate with us by email, schedule a meeting, or use related calendar functions.

F. Other disclosures

We may also disclose information:

  • To contractors, consultants, technology providers, payment processors, hosting providers, and professional advisers that support our operations;

  • At your direction or with your consent;

  • To comply with subpoenas, court orders, laws, regulations, tax requirements, or government requests;

  • To protect the rights, safety, property, systems, or operations of FL-Accounting LLC, our clients, or others;

  • In connection with a merger, acquisition, financing, sale, restructuring, bankruptcy, or transfer of some or all business assets; or

  • In aggregated or de-identified form where the information cannot reasonably be used to identify you.

We do not authorize service providers to use client information for purposes unrelated to the services they provide to us, except as permitted by their own terms, applicable law, or your instructions.

 

7. Data Security

We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information we handle. These safeguards may include access controls, account protections, secure systems, limited access, monitoring, secure document exchange, and procedures intended to reduce the risk of unauthorized access, alteration, disclosure, or destruction.

No website, email system, portal, device, or transmission method is completely secure. We cannot guarantee absolute security.

Please do not send Social Security numbers, tax documents, bank information, government identification, or other sensitive records through ordinary email, website comments, or social-media messages. Use the approved client portal or another secure method we provide.

If we become aware of a security incident affecting personal information, we will take appropriate steps, including investigation, containment, remediation, and legally required notifications.

 

8. International Clients and Cross-Border Transfers

We serve international owners of United States businesses, including individuals who are not United States residents. Personal information may therefore be collected from, accessed by, or transferred between the United States and other countries.

The United States may have privacy protections different from those in your home country. Our service providers may also process information in countries other than the country where you are located.

Where the GDPR, UK GDPR, or another applicable privacy law regulates a cross-border transfer, we will seek to use a lawful transfer mechanism or safeguard required by that law, such as an adequacy decision, standard contractual clauses, the UK International Data Transfer Addendum, or another recognized mechanism where appropriate.

By submitting information from outside the United States, you acknowledge that your information may be processed in the United States and other countries as reasonably necessary to provide services, operate our systems, and comply with legal obligations. This statement does not limit any rights you may have under applicable privacy law.

 

9. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, to provide services, maintain business records, resolve disputes, enforce agreements, comply with legal obligations, and protect our rights.

Client documents are retained in TaxDome for as long as the client maintains an active account or relationship with FL-Accounting LLC. After that relationship ends, records may be retained in accordance with applicable professional, tax, payroll, accounting, legal, and regulatory recordkeeping requirements.

Retention periods may vary based on:

  • The type and sensitivity of the information;

  • The nature and duration of the client relationship;

  • Tax, payroll, accounting, and professional obligations;

  • Legal claims or disputes;

  • Security, fraud-prevention, and audit requirements;

  • Contractual requirements; and

  • Backup and system-retention processes.

When information is no longer required, we may delete it, anonymize it, or securely dispose of it, subject to legal, tax, professional, and operational limitations.

 

10. Your Rights and Choices

You may request access to, correction of, or deletion of personal information by emailing:

To protect personal information, we may need to verify your identity and authority before completing a request. We may ask for additional information reasonably necessary to verify the request.

Depending on applicable law, you may have the right to:

  • Request access to personal information;

  • Request correction of inaccurate or incomplete information;

  • Request deletion of personal information;

  • Request restriction of processing;

  • Object to certain processing;

  • Receive certain information in a portable format;

  • Withdraw consent where processing is based on consent;

  • Opt out of marketing communications; and

  • Lodge a complaint with the appropriate privacy or data-protection authority.

You may unsubscribe from marketing emails by using the unsubscribe link in the message or contacting us directly. You may continue to receive necessary service-related communications after opting out of marketing.

Legal, tax, accounting, payroll, professional, fraud-prevention, security, contractual, and dispute-related obligations may limit our ability to delete or restrict certain information. We may also retain information needed to establish, exercise, or defend legal claims.

If you are located in the European Union, European Economic Area, or United Kingdom, you may have additional rights under applicable privacy law. Those rights are subject to legal exceptions and may not apply in every circumstance.

We do not discriminate against individuals for making a privacy request. We may be unable to provide services if required information is not provided or is lawfully unavailable.

 

11. Children's Privacy

Our website and services are intended for business owners, business representatives, and adults. They are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.

If you believe a child has provided personal information to us, please contact us at info@fl-accounting.com. If we learn that we collected personal information directly from a child under 13 without appropriate consent, we will take reasonable steps to delete it, subject to legal and recordkeeping requirements.

 

12. Changes to This Policy

We may update this Privacy Policy when our information practices, technology, services, legal obligations, or service providers change.

When we make changes, we will post the revised Policy on this website and update the “Last updated” date. If a change is material, we may provide additional notice where required by law.
